EAS User’s Guide
The EAS vaulting processes are run between 2 and 6AM each weekday morning.
During the EAS vaulting process, emails in your mailbox larger than 64KB and older than 30 days will be archived to EAS storage. A copy of each archived message will appear as a stub in your email mailbox. If a message contains an attachment, the attachment will be deleted from your mailbox and saved to the EAS document vault. A link to the attachment will be included in the stubbed message.
Archived messages are identified by the EAS icon in Outlook; EAS icons do not appear in Entourage. EAS archived content is also available for OWA users via the following URL: https://mail.nih.gov/eas. Please modify your OWA shortcut accordingly.
There are two folders in your mailbox that will NOT be archived – “Deleted Items” and another that you create as “DO NOT ARCHIVE”. If there are messages that you do not wish to archive, you may create a folder in your inbox named "DO NOT ARCHIVE" (without the quotes) and place any messages and/or sub-folders containing messages under that folder.
Important note for Outlook users: EAS is a bulk storage system (“vault”) for email and should not be confused with the “Archive” feature in Outlook that saves your email to PST files. You must disable all archiving rules within Outlook before you install EAS. If EAS and Outlook both attempt to archive your email, your email attachments could be lost. Likewise, if you manually move emails to folders and subfolders that are not within your mailbox and instead are PST files, EAS will be unable to locate their attachments and only the email stub will be retained. Offline Outlook users: If you use Outlook 2003 offline, EAS can synchronize all of your archived attachments with your Outlook OST file and make those archived items available offline (without Network access). Please refer to these instructions to set your Outlook for offline use.
